Overview

The following document has been written to aid Fulfillers with creating and managing orders for Next Flower products. 

To access this system please refer to the following link – CLICK HERE. A user will already have been created by the Kornit X team and these login details will be provided before accessing document.

Product Creation

Product creation has been detailed onto this following document to explain how to take the Master Virtual product under ID 11465040 which is to be used as it includes relevant image and text fields that are needed for the integration to work properly such as order ref ID and company images being included on all products created. 

To begin product creation, you first must head to the "Catalog" module and selecting "Product Manager" as shown below. 

Virtual Duplication

The first step to do is to duplicate the product to create a new virtual, this must be ran every time to make one of the card products. First head to the product ID and in the main list view menu select the product as shown below with the tickbox. 
With the product selected click the additional options menu and choose "Duplicate" from the dropdown. 
A warning will appear first, you can confirm you are happy to duplicate the product.
A category can then be searched and selected, the should be either "A67990 - Flowers Cards" (ID 41469) or "A38071 - Plants Cards" (ID 519885). 
The product will then be added to this category, you must head to the category and we can move onto the next stages of the product creation such as adding artwork and amending ecommerce data as the product has now been duplicated successfully. 

Adding Artwork

The products need to be updated to include artwork that will be printed. To do so open up the duplicated product and head to the "Print" section of the product as shown below. 
The sub section of "Print Areas" will be visible and here there will be 2 print areas - one for the "Front" and the "Inside".
The artwork needs to be added to the "Front", this section needs to be expanded and the artwork must be added to the "Artwork" section. 
Select the "Add an image" button and upload the artwork to the product which will then apply this to the inside print area and you can move onto amending the Ecommerce data. 

Amending Ecommerce Data

The next product amendments to make are the name, SKU and Design code. To be able to amend the name and the SKU head to the "General" menu shown below. 
Now loaded the "Details" need to be amended, the Name must be changed to include the Design and the Retail SKU must be replaced with the design SKU as shown below.
The last piece of Ecommerce data to amend is the "Design Name which can be found within the "E-Commerce" menu shown below. 
Now head down to the "Design Name" field within the "Info" menu and set the correct Design Name, an example is shown below, the "Master Virtual Design Name Card" is set here as an example.

Setting an iFrame image

The final step to set is the product thumbnail, this is what will later appear within the iFrame. To set this simply head to the "General" menu and click the "Assets" sub menu where you will be asked to upload an image as shown below. 
Please note the images will already be available to you to use and must be the JPG file type. 
Once the image is set and appearing on the product you can now move onto managing pricing and categories. 

Managing Pricing

The products must include pricing and this section of the guide will explain how to both add this manually and via an import. Both options are detailed below. 

How To Add Pricing To Products Manually

To add pricing manually simply head to the product and access the Ecommerce section and click onto the sub section of "Pricing" shown below.
To add a new set of pricing click the "+ Add Tier Group" button which will create a new line of pricing.
The new line of pricing will appear like the below with the only set option the currency which will be set to "British Pounds Sterling (GBP)". 

A retail price needs to be set for both a Next PLC Seller and either the flowers or cards dropship seller company as shown below. The element should be set to "Base" with a 1 quantity and 0 price. 
Pricing needs to also be added for both the base product retail price as well as for any that require an additional charge for attribute usage. To set this the first option to set is the pricing type which is the "Retail (inc tax)". Followed by this the "Buyer" company must be set to the company of "Next - Flamingo" which can be found by searching via the ID of "23756".  Please note that the "Seller" must be left to blank for this pricing. 
The next step to set is the "Element", there needs to be an element of "Base" set which does not include a price as this is already picked from the Next website. Following the Base a price needs to be set for every attribute, these should use the element of "Attribute" an option must be set for every attribute. For the example we have used there is a price for the Standard and Large attribute including a quantity of 1 and prices of "£35 and £40 which will be an additional add on.
Once added, simply click "Save" and for any changes needed simply alter the price and save again. 

Using the tier prices import

The pricing import is an alternative way to manage pricing, this is useful for mass pricing additions however the manually option allows you to see the pricing live. To use the import simply download the example we have attached to the bottom of this document.

With the file you simply need to add the product ID ad set the type to "3" which is the "tier_group.price_type", the value of "2" must be set for the tier_group.element_type" and "23756" must be set for "tier_group.seller_company_ref_id" which ensures the pricing is set for the correct seller company. With adding attribute pricing you must run an "Attribute" export as shown below which will give you the Attribute ID which then needs to be used within the "tier_group.attribute_id" column of the import file. 
Once the attribute IDs have been added, the quantity and pricing fields must be entered into the file. Once the file is ready simply run the Import as shown below, this file must be saved as the CSV with Unicode 8 set to the character set and ticking "Quote all text cells" on the CSV. 
To amend pricing with the file simply run the export and amend the file before importing the changes into the platform. 

Managing Categories

Category management is required for this, the section here will breakdown how to edit existing categories, ensure products are added to categories and using upsell categories against products. 
Please note that categories will already be created so there is no need to know how to create them as you do not need to know this. 

Editing Categories

To edit categories you simply need to go to Settings > Categories as shown below. 
Once categories have loaded you will see all of the categories accessible to your user, the view can also be filtered by searching via the name. 

To edit a category simply click into the category and you will be greeted with the following menu including the Name, Icon and Parent ID.
Only the name needs to edited, simply amend the name and click "Save and the category name will be updated.

Adding to categories

To add to categories simply head into your product and go to the General > Categories menu shown below
Once the categories menu has loaded, simply search for the category that you need to add the product to, in the example we have typed in A67990 which is the code for the Flamingo Flowers next company. 
With the correct category now selected the toggle needs to be enabled to view the category. To just review that categories a product are in, just set the view of the page to "Assigned". 

Upsell Categories

Upsell categories can be set against the Flamingo products, to include add on products they all must have an association to the categories. To set this go to the product and head to the ECommerce  and click the "Upsell Categories" sub section shown below.
Once accessed simply use the search box to find the category you wish to include and enable the slider.
Once enabled you can filter the view to show the assigned upsell categories shown below.

Capacity Planner

The Capacity Planner can be used to confirm that stock is available to fulfil and order before the customer is even able to place that order, making it easier to manage your customers expectations. 

How to access Capacity Planner

In order to access the Capacity Planner, users with explicit access to the section will be able to find "Capacity Planner" within the "Production" menu as shown below. 

Once the page has loaded you will be greeted with looking at the Capacity Plan for products on a "Daily" or "Monthly" occurrence.

Daily View

 The "Daily" view will give users the options to set the Date, Fulfiller and Categories to be able to see the capacity stock for the required item. There is also a search box to target a specific product ID as well as make the page appear in full screen. 

As for the data listed per item you will see the SKU, Barcode (if set), Name, Fulfiller, Capacity Number, Dispatched Number and Allocated Number of stock.
Please note the stock number of the last 3 options can be manually changed one by one by typing into the text box. 
In the below screenshot you can see the Capacity for the day has been set to "10". This means on the sale of the website there is stock for 10 of the item, meaning 10 orders can be allocated and dispatched. The numbers shown will change throughout the day when the item is ordered online, Once the capacity of 10 has been fulfilled the item will no longer be orderable for that day.


Within the Daily view there is an option that can be used to update any 0 values with one button. By selecting the "Set Missing" option shown below a window will appear on the page telling you to "Please enter capacity for all items" for those set with 0. 

Once a value of say 10 is added the products listed below for that day will all update to 10. As shown below by using the "Set Missing" feature we can update the capacity that was once 0 on multiple items to 10. 


Monthly View

The Monthly view is slightly different and is more useful for managing the capacity of stock throughout a monthly period. As shown below we are targeting the specific product and we can see for the month of July 2022 the "Capacity", "Dispatched" and "Allocated" product stock per day split by Monday to Sunday of that week. The "Month" view will also show the Fulfiller, Categories and options to search via the name of SKU of a specific product. 
Users can toggle back to older months by using the up and down arrows set next to the Month as shown below with us toggling back to April 2022 within that item. This means there is a historic trial that users can go back on when needed. This also means capacity can be set for months far into the future such as December which would deal with Christmas orders. 

The options for displaying in "Day" or "Month" can be chosen by changing the below toggle bar as shown below allowing for different ways to display the data. 

The screen for the Capacity Planner can be set and displayed on a machine within your factory by using the full-screen option which ill make it easier to track the capacity as shown below.

The "Set Missing" feature is only accessible within the "Day" view so users cannot set the capacity for products on a monthly basis for those values set to 0.
